Requesting Financial Sponsorship

Sole Financial Sponsorship Requirements

  • IEEE PES will have complete responsibility for the technical, financial, publicity, administrative and legal aspects of the conference.
  • IEEE PES will own all rights to the conference name and publications.
  • Budget forms and proof of insurance are required.
  • All conference publications, announcements and websites must include the IEEE and PES logos.
  • The conference title must include the IEEE name.
  • Full paper reviews are required; not abstracts.
  • IEEE will be the sole owner of the copyright.

Financial Co-Sponsorship Requirements

  • IEEE PES will have significant shared responsibility for the technical, financial, publicity, administrative and legal aspects of the conference. The relationship between sponsoring entities must be explicitly defined in terms of a Memorandum of Understanding (MOU).
  • IEEE PES will own all rights to the conference name and publications as specified in the MOU.
  • Budget forms and proof of insurance are required.
  • All conference publications and announcements are encouraged to use the IEEE and PES logos.
  • The conference website must include the IEEE and PES logos.
  • Full paper reviews are required; not abstracts. 
  • IEEE will be the sole owner of the copyright.

Requesting Technical Co-Sponsorship

Technical Co-Sponsorship Requirements

  • IEEE PES will have no responsibility for the financial aspects of the conference.
  • IEEE PES will have direct and substantial involvement in the organization of the technical program.
  • Full paper reviews are required; not abstracts. 
  • Use of the PES logo on the conference website.
  • The IEEE name is not be used in the conference title, however, the IEEE and PES logos may be used in conference publications and announcements.
  • The primary sponsor for this conference must be a not-for-profit organization. The conference cannot include any sponsors that are "for-profit". The conference can have "for-profit" organizations listed as "partners" or "supporters".
  • IEEE will be the sole owner of the copyright.
  • Agreement to submit the conference papers in IEEE Xplore compliant pdf format within the timeline required by IEEE.

Evaluation Points for Technical Co-Sponsorship Consideration

  • Topic relevancy to PES.
  • Acceptable review process to assure quality of papers accepted.
  • Organizers are adequately staffed and perform due diligence.
  • Appropriate sized Technical Committee.
  • Conference dates should preferably not be in conflict with those of a major PES conference.
  • No issues with previous sponsorship.
  • Reasonable timelines for paper submission to IEEE Xplore.
  • Conference location is accessible and offers quality facilities and accommodations.

IEEE PES chapters do have the authority to set up their own meetings without approval of the IEEE PES Meetings Department. However, they are strongly encouraged to notify the society when they plan to do this.
