PES Conference Sponsorship Policies

IEEE and PES provide four types of conference sponsorship as described in IEEE policies section 10 which is available on the IEEE web site under the "About IEEE" - "IEEE Governing Documents" (also described in the IEEE Meetings Organization Manual. These four types are listed below with a brief summary of the practical meaning of each; complete details are available via the link above:

Sole Sponsorship

  • IEEE PES will have complete responsibility for the technical, financial, publicity, administrative and legal aspects of the conference.
  • IEEE PES will own all rights to the conference name and publications.
  • Insurance and budget forms are required (see link above for forms and instructions).
  • All conference publications and announcements must include the IEEE and PES logos, and the conference title must include the IEEE name.

Co-Sponsorship

  • IEEE PES will have significant shared responsibility for the technical, financial, publicity, administrative and legal aspects of the conference. The relationship between sponsoring entities should be explicitly defined in terms of a Memorandum of Understanding (MOU)
  • IEEE PES will own all rights to the conference name and publications as specified in the MOU
  • Insurance and budget forms are required (see link above for forms and instructions).
  • All conference publications and announcements are encouraged to use the IEEE and PES logos.

Technical Co-Sponsorship

  • IEEE PES will have no responsibility for the financial aspects of the conference.
  • IEEE PES will have direct and substantial involvement in the organization of the technical program.
  • IEEE and PES may assist in publicity aspects of the conference.
  • The IEEE name may not be used in the conference title.
  • The IEEE and PES logos may be used in conference publications and announcements

Cooperation

  • IEEE PES will have no responsibility for the financial aspects of the conference.
  • IEEE PES has no substantive technical involvement, and no administrative involvement in the conference
  • IEEE and PES may assist in publicity aspects of the conference.
  • The IEEE name may not be used in the conference title.
  • Neither the IEEE nor the PES logo may be used in the conference publications or announcement.

IEEE PES chapters do have the authority to set up their own meetings without approval of the IEEE PES Meetings Department. However, they are strongly encouraged to notify the society when they plan to do this.

For-profit entities cannot be listed as Sponsors, Co-Sponsors, or Technical Co-Sponsors in any IEEE meeting.

Obtaining sponsorship

Requests for these levels of sponsorship must include signed documents related to financial and legal matters in accordance with IEEE policy. To obtain Technical Co-Sponsorship or Cooperation: Contact the PES special meetings coordinator Peter W. Requests for these levels of sponsorship must include the following information:

  1. The official title, date and location of the conference.
  2. The primary sponsor for this conference (must be a not-for-profit organization).  The conference cannot include any other sponsors that are "for-profit".   The conference can have "for-profit" organizations listed as "partners" or "supporters", but just not "sponsors".
  3. The name of the contact person with complete address, phone, fax and email
  4. Web site link for the conference.
  5. Your agreement to submit the conference papers in IEEE Xplore compliant pdf format within the timeline required by IEEE and your permission to have IEEE copy all papers and post on Xplore (normally done through an MOU which is required by IEEE).
  6. A brief description of the program (like technical focus areas, paper sessions, panel sessions, expo features etc.)
  7. Describe the process that will be used to review papers in order to avoid plagiarism, pre-publication, and poor quality writing/research.  
  8. Describe the "substantive" and “meaningful” contribution which PES will have to the Conference's Technical Program.

You may also request a copy of the PES logo at that time. Several formats and resolutions are available, so please note what type is needed when requesting the PES logo.
